Job Description:
As a Barclays Executive Assistant, you will support the Fixed Income Credit team within Barclays Investment Banking division. You will be working within a team of Executive Assistants to provide support to Front Office personnel, which will include extensive diary management, submitting expenses, travel arrangements, organising internal and external events and managing budgets accordingly.
We are currently operating in a hybrid working environment, meaning that many colleagues spend part of their working hours at home and part in the office, depending on the nature of the role they are in. Please discuss the detail of the working pattern options for the role with the hiring manager.
Job Responsibilities:
- Working co-operatively with the Administrative Assistants team, in a positive partnership to support each other smoothly
- Arranging and coordinating complicated domestic and international travel
- Maintain complex and detailed calendars, coordinating logistics of both internal and external meetings
- Organising all aspects for offsite conferences and external events, including catering and transportation, as well as leading and coordinate on ad hoc projects as requested
- Process invoices and travel and entertainment (T&E) expense claims for team members, in-line with policies and guidelines
- Assisting with staff on-boarding and off-boarding, which includes requesting equipment setup and system access
- Assisting spreadsheets and presentations editing and sense checking, including printing and binding for client meetings
- Screening incoming calls and determine the level of priority, while using caution in dispensing information
Job Requirements:
- Excellent communication skills both verbally and written, coupled with a strong knowledge of Microsoft Office programs
- Proactive and high attention to detail with the ability to think ahead and anticipate obstacles as well as providing solutions
- Confident and a strong team player with willingness to help
- Ability to work independently
- Highly organized and confident with proven experience of supporting senior stakeholders in a front office environment
- Excellent time management skills, able to work to pressured deadlines, with complex, time sensitive, confidential tasks and projects
- Understanding of discretion and confidentiality
- Proven adaptability, flexibility and resilience
