Job Description:
The role operates within a dynamic environment and under the direction of a Project Manager and Project Management Office (PMO) Manager. The post holder will support the delivery team of medium/large scale change projects (typically lasting 6-12 months) and will be responsible for coordination of project deliverables and plans, collating and analysing project information, producing governance documentation and tracking & monitoring project key performance indicators (KPI’s) . They will interact with stakeholders with a variety of functions across the University
Job Responsibilities:
Develop and maintain effective project management processes to support the work of the initiatives in the Strategic Change Office. Key responsibilities include:
- Set up and maintain key project documentation including the RAID log, benefits log, resource logs, action and decision log and project plans.
- Provide general administrative support to the project team, including procurement, requisitions and purchase orders and organising meetings.
- Post holders are required to familiarise themselves with the University’s Equality and Diversity policies and to actively support these;
- Provide secretariat services for governance forums, organising project meetings, preparing meeting papers and collating minutes.
- Line manage/supervise project administrator(s), ensuring activities are co-ordinated and providing coaching, development and day to day management support.
- Establish and deliver a process to collate and consolidate status reporting across the project, in liaison with colleagues.
- Track project metrics and actions including milestones, resources, and benefits.
- Manage and deliver specific deliverables within the project, developing plans, reviewing processes, and preparing presentations, data analysis and reports, with the support of Project Managers.
- To undertake such other duties as may be required commensurate with the level of responsibility of the role.
- Be aware of and work within the constraints of the University Health and Safety, Data Protection, and Confidentiality policies, bringing to the attention of management any issues arising;
- Support the delivery of project workshops, assisting colleagues with facilitation and documenting outputs.
- Develop and maintain a process for project document management.
- Ensure projects comply with University policy across all project work, developing and promoting clear guidelines and liaising with relevant teams (e.g. Health & Safety, Equality, Diversity& Inclusion and Information Governance Office) to ensure adherence;
- Monitor compliance to project management standards, processes and artefacts.
Job Requirements:
- Experience of supervising staff or managing the allocation and delivery of tasks within a team.
- Ability to develop effective working relationships with colleagues and stakeholders;
- High level organisational skills and a demonstrable ability to effectively organise activities that require the coordination of multiple work streams and events.
- Highly developed verbal and written communication skills with the ability to present complex information clearly and concisely to executive stakeholders;
- Experience of undertaking projects in Higher Education or similar complex organisation.
- Knowledge of governance structures and PPM tools;
- Experience of using project documentation such as RAID logs, status reports and resource trackers;
- Interest in continual improvement and exploring new ways of working;
- Experience of providing secretariat services to governance bodies;
- Excellent analytical skills and the ability to compile information from different data sources;
- Strong Microsoft Word, PowerPoint and Excel skills;
