Job Description:

The Warranty Clerk is responsible for processing all documentation relating to warranties within the Dealership. This will involve checking, allocating, preparing and submitting warranty claims for Renault, Isuzu and stellantis (Opel) according to the required standards and processes.

He/she will provide an accurate, efficient and effective warranty claims service to the Dealership by ensuring that profits are maximized and unnecessary expenditure is minimized.

Job Responsibilities:

  • Ensure that the processing of warranty claims is processed accurately and in accordance with agreed deadlines
  • Ensure that operation codes or standard repair times (SRT codes) as per the WIS (Workshop Information System), systems and the flat rate system are accurate before closing the job card.
  • Ensure that all operation, damage and fault codes, including Protocols references, captured in relation to the workshop invoice are accurate
  • Liaise with the workshop on rejected warranty claims, and resubmit where required and authorised
  • Follow up on all missing or incomplete information and address all queries in a timely and proactive manner
  • Query all unpaid, rejected and outstanding claims with the Claim Adjudicators within the prescribed time limits and according to Isuzu and Renault policies and procedures
  • Comply with all Parts Return requests and record all warranty dispatch details in a timely and accurate manner
  • Ensure that the warranty parts store and admin is maintained in terms of policies and procedures including the disposal process
  • Ensure that the correct group costing and warranty procedures are followed at all times
  • Ensure that all warranty claims are administered accurately and efficiently
  • Provide all internal and external clients, customers and suppliers with efficient, accurate and effective service at all times
  • Build and maintain positive and professional relationships with warranty support staff and internal staff members
  • Administer all goodwill claims and refunding of customers according to the company policy and procedures
  • Work extended hours when required to enhance levels of customer satisfaction
  • Ensure that all administrative deadlines are met on a monthly basis
  • Reconcile warranty claims according to the correct procedures in a timely and accurate manner
  • Follow correct procedures when preparing, submitting and filing warranty claims at all times
  • Ensure that all documentation complies with warranty audit standards and requirements
  • File all warranty, maintenance contracts and cash job cards and all related documentation systematically, accurately and in a timely manner
  • Report problems to management for speedy resolution when required
  • Knowledge of social media marketing.

Job Requirements:

  • Must have at least 2 years’ experience in service department with in light commercial, passenger and heavy commercial industry.
  • Direct experience as a warranty Clerk will be an advance.
  • Renault and Isuzu experience will be an advantage.
